Open Shift Assignments

Open shifts are used in the schedule as placeholders for shifts that are required to fulfill coverage needs in a location.

There are several ways for managers to assign open shifts to employees manually: by using Quick Actions, drag and drop, or editing the open shift. If the employee is assigned a job that is different from the job of the open shift, the employee is transferred to the job assignment and times as the open shift.

Assign an Open Shift Using Quick Actions

The Assign Quick Action provides an easy way for managers to assign consecutive open shifts repeatedly in the schedule.

Navigation:Main Menu > Schedule > select applicable Schedule Planner

  1. In the schedule, confirm or select the applicable time period and location.
  2. Select Quick Actions to access the Quick Action toolbar.
  3. Select Assign.
  4. In the appropriate row in the Open Shifts area at the top of the schedule, select the applicable open shift.
    Note Open shifts are indicated by the number of shifts open in the Open Shifts row, as well as a shift label in the row identifying the job role needed for the shift. If the Open Shifts area is collapsed, select the arrow to expand the area and access individual open shifts.
  5. Select the date cell in the row for the employee to whom you want to assign the shift.
  6. Repeat the previous two steps as needed to assign open shifts.
  7. Select Quick Actions to stop the Assign action.
  8. If break rules are violated, reassign the breaks.
    1. Right-click the shift.
    2. Select Assign Breaks in the glance.
  9. Select Save.
    Note If the employee’s primary job does not match the job of the open shift, the segment becomes a transfer job. Work rule or labor categories remain the same as the open shift.

Drag and Drop an Open Shift

Managers can use drag and drop to assign an open shift to an employee in the schedule.

The following restrictions apply.
  • You cannot move an open shift to a different open shift row.
  • You cannot move an open shift to a locked day.
  • You cannot move an open shift if the shift starts or ends on a locked day.

Navigation:Main Menu > Schedule > select applicable Schedule Planner

  1. From the Schedule Planner page, select the open shift from the Open Shifts area and drag it to the date cell in the row for the employee to whom you want to assign the shift.
    Note A red dot appears on newly assigned shifts before you save your changes.
  2. Select Save.

Edit an Open Shift to Assign it to an Employee

Managers can use the Edit Shift slider to assign an open shift to an employee. This is useful when there are other characteristics of the shift that need to be updated, such as adding comments or updating the work rule.

Navigation:Main Menu > Schedule > select applicable Schedule Planner

  1. From the page Schedule Planner page, right-click an open shift.
  2. In the Shift glance, select Edit.
  3. In the Edit Shift slider, select the applicable employee from the Employee Name drop-down list.
  4. Update any other applicable fields in the Edit Shift slider as needed.
  5. Select Apply.
  6. Select Save.
