Create a Delegate

If a manager is on vacation or unable to act on timesheet approval or time off requests, an administrator can delegate another individual to act on the manager’s behalf.

The delegate can review and approve timesheets during the specified date range. In addition, the delegate can approve, cancel, and reject delegated requests. The delegate can also create a request on behalf of an employee.

An employee's manager will continue to receive notifications. Options are available to send timesheet notifications or time off request notifications to the delegate.

Navigation: Menu > Administration > Employee Admin > Time Off

  1. From the left navigation menu, select Delegation Management. This menu option only displays if the Enable Company Administration option is set to Yes on the administrator’s personal detail page (Security tab).

    The Delegated From, Delegated To, Validity Period, and Status columns are sortable and searchable. Select to filter the page by employee, date, type, or status, if applicable.

    Note:

    To edit an existing delegation or make it inactive, select Edit or Deactivate, respectively, from the Actions column.

  2. Select Create.

  3. Select the status of the delegation record: Active, which is the default, or Inactive.
  4. Select the manager for whom the delegation is being created. The drop-down list includes employees who have direct reports in UKG Pro and employees who manage an administrative team in Time Classic.
  5. Select the manager who will act as a delegate. In order for a manager’s name to appear in the list of eligible employees who can be selected as a delegate, the REQUEST_DELEGATE permission must be assigned (Settings > Roles).
  6. Select the delegate type:
    • Timesheets - The delegate has the ability to edit and approve timesheets for the delegator’s direct reports during the designated time period. Select Yes if you want the individual to receive timesheet notifications. The delegate must be assigned the appropriate role and permissions to edit and approve timesheets (Settings > Roles).

      Note:

      This option displays only if Time Classic has been enabled for the organization. If Time Classic is not enabled for the delegator or delegate, the Timesheets checkbox cannot be selected.

    • Time Off Requests -  The delegate has the ability to act on time off requests from the delegator’s direct reports during the designated time period. The delegate can also create a request on behalf of an employee. Select Yes if you want the individual to receive time off request notifications.
  7. Enter a start date and end date. If you do not want to have an end date, enter a date that is far into the future (for example, 12/31/2080).
  8. Select Save.

    Note:

    More than one delegate can be assigned to the same manager with overlapping dates.

    When managers are assigned as delegates, the drop-down list in the top left corner of the Team Time Off page displays a Delegated Teams option.
