UKG Launch Document Migration

UKG Pro Document Manager stores employee documents like candidate records, Forms I-9, and resumes (including UKG ProRecruiting and UKG ProOnboarding documents). You may already be storing employee documents in UKG Pro. Using the UKG Pro Launch Document Migration feature, you can move documents from UKG Pro to Document Manager.

Document Migration Dashboard

From the Document Migration Dashboard, you can start a new migration, monitor migrations that are in progress, and review completed migrations.

The Document Migration Dashboard displays the number of companies that have migrated documents, the number of documents that have been migrated, and a list of companies that have started document migration. The company migrations list also includes information such as:
  • The status of the migration
  • The date of the last migration run
  • The name and AR Number of the company
  • The name of the user who last ran the migration
  • The number of total documents
  • The number of successfully migrated documents (if the migration is complete)
  • The number of documents that failed to migrate (if the migration is complete)

You can search for migrations by status, date, company name, AR Number, and user name. You can also sort the list of migrations by selecting a column from the company migrations list.

An In Progress indicates that the documents are currently being moved from UKG Pro to UKG ProDocument Manager. The total number of documents displays, but the number of successfully migrated and failed to migrate documents does not display until the migration is complete.

A Completed status indicates that the documents are no longer being moved and that all the documents migrated successfully.

A Completed with Failures status indicates that the documents are no longer being moved, but some documents failed to migrate. The number of documents that migrated successfully and failed to migrate are displayed.

A Failed to Start status indicates that the migration failed to start because the process could not connect to the database.

Document Migration Details

From the Document Migration Dashboard, select a company to view more migration details.

If the migration has a Failed to Start status, you can try to restart the migration by selecting the Retry Migration button on the Migrate Documents page.

If the migration has an In Progress status, the Migrate Documents page displays the progress bar and the number of documents that have been processed.

If the migration has a Completed with Failures status, the Migrate Documents page enables you to download reports and identify the documents that failed to migrate. From the Migrate Documents page, you can try to migrate the failed documents by selecting the Retry Migration button. 

If the migration has a Completed status, you cannot run the migration again. Successfully migrated documents cannot be re-migrated.

Note Once a document migration has been initiated, any document that is added or modified in UKG Pro will automatically be migrated to UKG ProDocument Manager. However, those documents will not be included in the document count.

Start a New Document Migration

Document Migration enables you to easily move employee documents from UKG Pro to UKG ProDocument Manager. Document Migration is a three-step process: Gather UKG Pro Details, Gather Documents, and Migrate Documents. Note that you will need to start a Document Migration for each company.

Important Before starting migration, ensure that the UKG Pro documents are Read Only. The customer should not change or add UKG Pro documents during migration. 

Navigation:Document Migration Dashboard > New Migration

  1. On the Gather UKG Pro Details page, enter the company AR Number and select Gather Details. The details for the selected company appear.

    Note If the AR Number is associated with multiple companies, you must select the correct company. Select an environment 
    Note An error notification appears if any details cannot be gathered. You are then prompted to submit a support ticket. For example, the Employee File Management environment must be enabled in order to migrate documents.
    Select Next Step.
  2. On the Gather Documents page, select Get Details. The number of UKG Pro documents available for migration appears.

  3. On the Migrate Documents page, select Start Migration. The progress bar updates according to the interval set, so changes many not appear in real time.  If the migration cannot be started, an error will appear.

    The Migrate Documents page does not need to remain open to continue the migration process. Return to the page periodically to monitor the status of the migration. Note that the number of documents impacts the amount of time the migration takes to run.
