About Company Tax Codes
The UKG Pro solution has tax codes that are added to a component company to enable to calculation of tax amounts for employer and employee taxes. Company tax code tables store tax information for every federal, state, and local tax jurisdiction supported by the system for the 50 states, Puerto Rico, and supported US territories.
To use a tax code, it must be configured in the Tax Setup (Company) business rule with any necessary tax information. For most tax codes, the statutory rates dictated by federal, state, and local jurisdictions are updated automatically as UKG receives compliance updates from the tax jurisdictions. There is some company tax code information, including experience rates and identification numbers, that you must maintain for each tax code.
Configure Access to Company Tax Setup Business Rule
To view, change, or add a new tax code, the user's role must have the Business Rules Access Rights granted for Tax Setup (Company).
View Your State Tax Company Profile
You can view the details of your company's state tax profile in the Tax Setup (Company) Business Rule.

General Details
The General Details section of the Tax Code allows you to enter information regarding the state tax codes applicable to your company.
Field | Description |

Do you have a valid EIN/Tax ID? | Select Yes, I have applied for one, or No/I'm not sure. Important UKG Pro Tax Filing customers must register with each agency. Refer to the Tax Jurisdiction Requirements job aid for state agency information. |
State ID Number | The State ID Number field is used to enter your company's Employer Identification Number (EIN) provided by the state. The State ID is used for Form W-2 and Employer tax filing purposes. Note The state assigned EIN may differ from the company Federal Employer Identification Number (FEIN). |
No CTS Support | No CTS Support is a display-only field that indicates that Ceridian Tax Service (CTS) does not support the tax code. |
W-2 Box 14 Label | Some state tax jurisdictions require a specific label in Box 14 of Form W-2, or you may want to include a label for company reporting purposes. |
Link Codes Is Linked Do Not Use Link | There are many taxes in the system that are linked to other tax codes. When you add one of these codes (usually a State Unemployment Insurance code), the system automatically activates the linked codes. There are instances when organizations are not subject to tax codes and need to break the link. For this reason, the system uses the following fields:

Enable tax group calc | Enable Tax Group Calc indicates that this tax code is considered across multiple companies that are related by a tax calculation or group identification. |
Employer tax | Employer Tax indicates this tax code is an employer-only tax. This field is view-only. |
Exception State | Exception State indicates that the employer is operating in an exception state where the PEO is not recognized as the employer of record. Select this box if your PEO is not recognized as the employer of record. Note This field appears for UKG Pro PEO customers only. |
Exception State ID Number | If your PEO is not recognized as the employer of record, enter the Exception State ID Number. The PEO is required to report to the state jurisdictions using the employer ID number and assigned SUI rate. Note This field appears for UKG Pro PEO customers only. |
Taxation method | The taxation method determines the method for calculating the employees current tax amount. |
Tax code inactive for UKG Pro Tax Filing | If selected, this tax code is inactivated for the UKG Pro Tax Filing tax profile. Note When this field is selected, the tax code will be excluded from processing and filing by UKG Payment Services after the inactivation date. You are responsible for paying and filing taxes for this tax code once inactivated. |
Tax filing information

Deposit frequency | Enter the deposit frequency that your company is required to remit tax liabilities as assigned by the agency Note Only deposit frequencies supported by the agency and are Payment Services are available for selection. |
EFT password | Some agencies require a PIN number or password in order for UKG to submit electronic payments. Enter the password for the agencies that require an EFT password. |
Additional EIN information | A small number of agencies require additional EIN information. Refer to the i icon for a list of agencies that require additional information, and the information required. |
County Code | A small number of agencies require additional county codes entered for tax filing. Refer to the i icon for a list of agencies that require a county code. |
Contribution Rate
Some jurisdictions, such as State Unemployment Insurance (SUI) and State Disability Insurance (SDI), assign specific contribution rates to each employer. The Contribution Rate table displays a history of contribution rates and rate changes.
Select the + icon to add a new contribution rate. When you add company tax codes for each of these jurisdictions, you must enter your company's contribution rate and the applicable effective date. The system can calculate the tax amounts for these jurisdictions only if you have entered a contribution rate and the applicable effective date.
The Use State System Rate check box is used for SUI-linked and SDI tax codes where the rate is state-defined. Many states set contribution rates for SUI-linked and SDI tax codes, and those rates are included in the system tax tables. The Use System Rate option is only available for those tax codes for which states set rates and for which employers may have a rate different than the state-defined rate. When the box is checked, the tax is calculated at the state-defined rate that is in the system tables.
Employers who have a rate that is different than the state defined system rate must enter their contribution rate in percentage format. Each year, enter your new contribution rates and effective dates as soon as you receive the information from the agency. Effective dates are usually provided within the agency notice and are typically the first day of the quarter (January 1, April 1, July 1, October 1).
Reporting
Prompt: Describes the information you need to provide for magnetic media reporting for the tax code. If the Prompt fields are blank, the tax jurisdictions does not require magnetic media reporting information.
Data Type: Describes whether you need to enter the information as alphanumeric characters, numbers, or dollar amounts.
Data Item: Allows you to enter the required information.
You can select the + icon to add information to the Reporting table. You can select the pencil icon to edit an existing reporting prompt, or you can select the trash icon to delete the row.
Tax Details and Other Tax Code Sections
Uses special calculation: Determines if the tax code should refer to a specific program to calculate the tax amount as opposed to a flat amount or percentage of taxable wages.
Is percent of FIT: Indicates whether the tax is calculated as a percentage of Federal Income Tax (FIT).
Tax cap amount: Identifies the maximum tax amount for this tax code. This information is maintained in system-level tax tables.
Pre-tax deductions: displays pre-tax indicators to view which wages and deductions are considered pre-tax for state taxation purposes. These can include:

- NQP Deferred

Tax Table: Displays the tax table associated with the state tax code. Select the Filing Status from the drop-down list to view details. The information in this table comes from the system level and cannot be edited.
Supplemental ratesn : Displays supplemental information associated with the state tax code. The information in this section comes from the system level and cannot be edited.
Change or Edit a Contribution Rate for SUI or SDI Tax Codes
Each year, enter your new contribution rates and effective dates as soon as you receive the information from the agency. Update your contribution rates using the Tax Setup (Company) business rule.
Change or Edit an Existing State Tax Code
To make updates to an existing state tax code, select the tax code and apply the updates.
Add a New State Tax Code
You can add and configure state tax codes for a new state on your tax profile.
View your Local Tax Code Company Profile
You can view the details of your company's local tax profile in the Tax Setup (Company) Business Rule.

General Details
The General Details section of the Tax Code allows you to enter information regarding the local tax codes applicable to your company.

W-2 report code | Indicates this tax code is reported on Form W-2 with a specific reporting code designated by the tax jurisdiction. This is a display-only field maintained at the system level. |
W-2 Box 14 Label | Designate what label should be printed with the year-to-date amount in Box 14 of Form W-2. The drop-down list includes the box 14 labels your company has set up on the W-2 Box 14 Labels Business Rule. |
Employer tax | Employer Tax indicates this tax code is an employer-only tax. |
Link Codes Is Linked Do Not Use Link | There are many taxes in the system that are linked to other tax codes. When you add one of these codes, the system automatically activates the linked codes. Exclude from W-2 file | Allows you to designate that this local tax code is not to be included in the CTS year-end W-2 file. |
Enable tax group calc | Enable Tax Group Calc indicates that this tax code is considered across multiple companies that are related by a tax calculation or group identification. |
Tax code inactive for UKG Pro Tax Filing | If selected, this tax code is inactivated for the UKG Pro Tax Filing tax profile. |
Is Non-Resident | Indicates this tax code is for employees who work in this local tax jurisdiction but reside in another. This is a display-only field maintained at the system level. |

Change or Edit an Existing Local Tax Code
To make updates to an existing local tax code, select the tax code and apply the updates.
Add a New Local Tax Code
You can add and configure a local tax code for a new local tax jurisdiction on your tax profile.
Verify Company Tax Information
After adding or changing a company tax code, run the Company Tax Verification and the Company Master Profile standard reports to verify company and tax code information.
The Company Tax Verification standard report includes company tax setup information, company tax code information including Tax ID numbers for all tax codes, and contribution rates for SUI and SDI tax codes for the reporting period. The Company Master Profile standard report is available to UKG Pro Tax Filing customers, and includes the tax setup information on your Tax Filing profile.
Run these two standard reports and verify that all tax codes appear in both your company setup and your tax filing profile.
UKG Pro Tax Filing customers can also view tax filing information within the Payment Services Gateway ( ). The Tax Filing page in the Payment Services Gateway displays tax codes with incomplete tax filing setup, as well as tax liabilities for exceptions.
