Add Workforce Management Classic Settings for a New Employee
Add UKG Pro™ Workforce Management Classic settings for a new hire during the Add Employee work event or the Add US/Canadian/International work event.
UKG Pro Time Off is the required building block for Workforce Management Classic. UKG Pro Time Classic is an addition to Time Off, and UKG Pro Scheduling Classic is an addition to Time Classic. For the Time tab and the Scheduling tab to be available during the work event, the respective product keys must be registered by your system administrator:
- Time Classic – UPT
- Scheduling Classic – UPS

Add UKG Pro Time Off settings for a new employee on the Time Off and Allowances page during the Add Employee work event or the Add US/Canadian/International work event. This page appears only if the Time Off feature has been enabled.
- Select Yes or No to indicate if this employee will use Time Off.
- Select the individual’s security role(s) (Admin, Employee, or Manager).
- Select the policy group. A policy group is a bundle of time off policies that are combined together and assigned to an employee. It determines how accruals, usages, balances, and carryover amounts are applied to an employee's time off information.
- Select the holiday calendar.
- Enter the employee default for the number of hours per day (for example, 8 hours for regular full-time employees). This amount is used to convert days when a policy is tracked in days instead of hours.
- Select the time zone, which is primarily used for time clock punch transactions.
- Select the ACA pay type. (This applies to those companies who are required by the Centers for Medicare and Medicaid Services [CMS] to electronically submit staffing and census information to promote greater accountability for long-term health facilities.)
- Select how the individual should receive Time Off notifications (via email, in the application, both email and in the application, or none). This can be changed later in Time Off on the employee persona page (My Team > Time Off > My Team > select employee > Employee Preferences tab).
- Select Next to complete the work event.

Add UKG Pro Time Classic settings for a new employee on the Time page of the Add Employee work event or the Add US/Canadian/International work event. This page appears only if Time Classic has been purchased and enabled.
- Select Yes or No to indicate whether the employee will use Time Classic to enter time and submit timesheets.
- Select the pay rules group. Pay rules determine the conditions under which employees are paid for common pay types like overtime hours, breaks, holidays, and shift premium.
- If required by your company configuration, select the shift pattern and pattern start day. The pattern start date is assigned when assigning the shift pattern to the employee.
- If required by your company configuration, select the labor metrics group (for example, transfers on the timesheet).
- Select the individual’s security role(s) (Admin, Employee, or Manager).
- If required by your company configuration, select the administrative team to which this employee (manager) requires access. Administrative teams provide supervisors with access to employees who do not report directly to them.
- If required by your company configuration, select the default time code (for example, Work - WRK). If both a time code and shift pattern are assigned, an employee receives automatically generated shifts using this time code.
- Select the timesheet configuration group. In Time Classic, administrators can configure the information to display on employee timesheets by group, including hour types, schedules, and shift patterns.
- If using geofencing, select the geofence groups the individual should be assigned to and the type of geofence enforcement to assign to the individual (Active, None, or Passive).
- If the individual will use a time clock (for example, TouchBase or TimeBase clocks), select the UKG Pro Time Collection (UTC) groups.
- Select who should have rights to edit the individual’s timesheet (Employee and Manager, Employee Only, or Manager Only).
- Select how the individual should receive Time Classic notifications (via email, in the application, both email and in the application, or none). This can be changed later in Time Classic on the employee persona page (My Team > Time > My Team > select employee > Employee Preferences tab > Edit).
- Select the Meal Waiver and Break Waiver options, if applicable.
- Select Next to complete the work event.

Add UKG Pro Scheduling Classic settings for a new employee on the Scheduling page of the Add Employee work event or the Add US/Canadian/International work event. This page appears only if Scheduling Classic has been purchased and enabled.
- Select Yes or No to indicate whether the employee will use Scheduling Classic.
- Select the scheduling team(s) that the individual is a member of. A scheduling team is a group of employees that generally work in the same area or section of a business unit.
- Select the compliance rule group. Compliance groups determine how a group of employees is treated for scheduling violations.
- Select the individual's security role(s) (Admin, Employee, or Manager).
- If the individual will be a manager of a scheduling team, select the team(s) that the individual will manage.
- Select how the individual should receive Scheduling Classic notifications (via email, in the application, both email and in the application, or none). This can be changed later in Scheduling Classic on the employee persona page (My Team > Scheduling > My Team > select employee > Preferences tab > Edit).
- Select Next to complete the work event.
