Change Job

Change Employee Job and Pay Information

Change global employee job and pay information using the related work event. A new job history record is created with each change. Future-dating is also available when changing records. If you use Position Management, the Position page is included in the work event instead of the Jobs page.

Note

Some fields included in these instructions may not be available if they have not been configured for your company or employees.

Navigation:Menu > My Team/Administration > My Employees > select an employee > Jobs

  1. From the Job Summary page, select Edit.
  2. From the Change Job page, enter the effective date for the job. Changes can be future-dated.
  3. Select a change reason.
  4. Select the employee's job group if the company is set up to use multiple jobs.
  5. Select the employee’s job. Only active jobs are listed. The salary grade defaults based on the job selected.
  6. Enter an alternate job title.
  7. Select the employee's supervisor.
  8. Complete the following, if applicable:
    • Hire Source
    • Project Assignment
    • Place within the Company's Organization Hierarchy (for example, division or department)
    • National and Local Union Affiliation
  9. From the Pay area, select the employee’s pay group. The pay frequency defaults based on the pay group selected and cannot be changed. Only active pay groups are listed. The pay frequency defaults based on the pay group selected.
  10. Enter the employee’s scheduled hours. The hours default based on the pay group selected, but can be overwritten.
  11. Select the following, as needed:
    • Employee Type (regular or temporary)
    • Employee Pay (hourly or salaried)
    • Employee Status (full time or part time)
  12. Select if the employee is any of the following:
    • Seasonal
    • Agricultural
    • Youth/Training
    • Direct Labor
  13. Select a shift group and shift, if applicable.
  14. Enter time clock information.
  15. Select the following:
    • If the employee should be paid automatically
    • If this job change is a promotion
    • If this job change is a transfer
  16. Enter a note on the Change Job page, if needed.

    If employees have access to view the Job History page, they will see the note.

  17. Select Save.

    Change requests can be edited after submission. Changes to pending workflow approvals can be completed from the Requests page (Requests > Inbox > Pending Approvals) by selecting the Edit link on the request. When change requests are resubmitted, the workflow approval process is restarted. Future-dated change requests can also be edited. The ability to edit and resubmit a change request must be activated on the business process (Workflow Administration > Business Processes).

    Note

    This page is one of a select group of pages that is fully configurable. When a page is fully configurable, your system administrator can use Platform Configuration to customize the page to meet your organization’s needs. Configurability options include the ability to change existing fields, add new and unique fields, change field labels, hide fields, and reformat the entire page. Default values based on defined rules which automatically populate key fields such as those related to pay group, organization levels, and job changes can be easily added. When configurations are applied to this page, your tasks may not match the default tasks included with this information.

Change Job and Salary

Change Employee Job and Pay Information

From the Change Job step of the Change Job and Salary work event, you can change information regarding a global employee's job.

Navigation:Menu > My Team/Administration > My Employees > select an employee > Jobs

  1. From the Things I Can Do section of the Job Summary page, select Change Job and Salary.
  2. From the Change Job page, enter the effective date for the job. Changes can be future-dated.
  3. Select a change reason.
  4. Select the employee's job group if the company is set up to use multiple jobs.
  5. Select the employee’s job. Only active jobs are listed. The salary grade defaults based on the job selected.

Change Employee Salary Information

Change employee salary information on the Change Salary page of the Change Job and Salary work event.

From the Change Salary page, you can create various salary adjustment scenarios using percent or dollar amount, and compare current salary to new salary.

Note

Pay rates are calculated only when all the following fields are populated or updated: Pay Group, Pay Frequency, Scheduled Hours, Percent Change or New Rate, Per (New Rate Per), and Payments per Year.

Some fields referred to in the procedure may not be applicable to your company or employee and may not be visible in your system.

  1. From the Change Salary page, if you are changing the salary for a Canadian employee:
    • Check the Issue Record of Employment (ROE) box, if applicable.
    • If the Issue ROE box is checked, the ROE Issue reason is required.
  2. Change the pay currency, if needed.
  3. From the Salary section, select one the following:
    • Percent Change. This option becomes unavailable when the employee’s currency is changed.
    • New Rate. If New Rate is selected, enter an amount and frequency (for example, per hour or per year). Pay currency can also be changed. Payments per year can be changed for employees paid monthly.
    Note

    For global employees, pay rates will only appear converted if a conversion rate is available for the currency. Currency rates only appear converted if you are using currency conversion and if you choose to view the rates in the base currency.

    The salary calculation is reflected in the New Rate column.

  4. Select Next. The Change Review page appears.

Change Employee Review Information

Change employee salary and performance review information on the Change Review page.

If there is previous review information for the employee, it will be included under the Previous Review section.

  1. From the Change Review page, complete one of the following:
    • To add review information, select the Add Review History link. The Add Review page appears.
    • To change review information, select a review. The Change Review page appears.
  2. Select the review date.
  3. Select a salary review rating.
  4. Select a salary review type.
  5. Enter the name of the salary reviewer.
  6. The next review date may default based on configuration rules, but this date can be overwritten.
  7. From the Performance section, select a review date.
  8. Select a performance review rating.
  9. Select a performance review type.
  10. Enter the name of the performance reviewer.
  11. The next review date may default based on configuration rules, but this date can be overwritten.
  12. Select Next. The Summary page appears.

Review and Submit Request Information

Review your selections on the Summary page. If needed, return to the applicable page to make edits.

  1. From the Summary page, review the information.
  2. Select the applicable action to complete the request, such as Save, Submit, and Finish.
    Note

    If approvals are required, the Summary page appears with a Workflow Approvals section.

Change Salary

From the Change Salary page, you can modify the employee's pay group as well as create various salary adjustment scenarios using percent or dollar amount, and compare current salary to new salary.

  3. Select a reason for the change.
  4. If you are changing the salary for a Canadian employee:

  2. Select the review date.

  6. The next review date may default based on configuration rules, but this date can be overwritten.
  7. From the Performance section, select a review date.
  8. Select a performance review rating.
  9. Select a performance review type.
  10. Enter the name of the performance reviewer.
  11. The next review date may default based on configuration rules, but this date can be overwritten.
  12. Select Next. The Summary page appears.

Review and Submit Request Information

Review your selections on the Summary page. If needed, return to the applicable page to make edits.

  1. From the Summary page, review the information.
  2. Select the applicable action to complete the request, such as Save, Submit, and Finish.
    Note

    If approvals are required, the Summary page appears with a Workflow Approvals section.

Add Review History

Change Employee Review Information

  1. From the Change Review page, complete one of the following:

  2. Select the review date.
  3. Select a salary review rating.
  4. Select a salary review type.
  5. Enter the name of the salary reviewer.
  6. The next review date may default based on configuration rules, but this date can be overwritten.
  7. From the Performance section, select a review date.
  8. Select a performance review rating.
  9. Select a performance review type.
  10. Enter the name of the performance reviewer.
  11. The next review date may default based on configuration rules, but this date can be overwritten.
  12. Select Next. The Summary page appears.

Add Other Country Information

Add Other Country Information

Add or change country-specific information on the Other Country Info page. The Other Country Info page displays only those fields relevant to the employee's country and can only be modified by a manager or administrator. The information helps to provide payroll information for your company.

In order to make the country fields available in the Other Country Info page, refer to the job aid, “Manage Global Payroll Localization Fields."

Navigation:Menu > My Team/Administration > My Employees > select an employee > Pay > Other Country Info

  1. From the Other Country Info page, select Edit.
  2. Modify any of the country-specific fields as needed.
  3. Select Save. The Other Country Info page appears with the new information.
