Request Time Off from a TouchBase Clock

Employees can easily request time off from a UKG TouchBase clock. Time off requests can be for a partial day, a single day, or multiple consecutive days. Employees also have the ability to view their time off accrual balances and the status of prior time off requests.

The time system must be available and the clock must be online in order to submit a request. If the clock is unavailable or not connected to the internet or the time system is unavailable when employees attempt to request time off, the clock displays a message instructing employees to try again later.

Your administrator configures the time off policy and rules within UKG Pro, including the ability to request time off from a clock.

  1. Sign in to the TouchBase clock device with your badge number.
  2. Select More Options.

  3. Select Time Off. The Time Off screen shows a summary of policy and accrual balances at the top and any recent or pending requests at the bottom.

  4. Select Request Time Off.

  5. Select the policy or balance type from the drop-down list (for example, Vacation).
  6. Select the start and end dates.
  7. Select Partial Day if you wish to request time off less than your standard shift length. A drop-down list appears with the available increments (for example, 1 hour, 2 hours, or 4 hours).
  8. Enter any comments about the time off request. The approving manager is able to view the comments. (The default is "Entered by TouchBase.")
  9. Select Submit. The clock displays a confirmation message indicating that the request was recorded.
    Note Employees can submit a time off request either in UKG Pro or via the TouchBase clock. For requests made via the clock, all subsequent steps, including approvals, are completed in the time system.
