Time and Attendance Push Notifications in the UKG Pro Mobile App

Mobile app users can receive notifications from Time and Attendance on their mobile device. They can get notified about updates to time off requests, open shifts that get posted to shift billboards, employee attestation or rejection of timesheets, and notification when timesheet approvals are due or overdue.

Time Off Request Notifications

Supervisors receive notifications when their employees submit requests for time off or to cancel previously requested time off. If the supervisor is already logged into the mobile app, they can select the notification to go directly to the Team Time Off page.

Employees receive notifications when the supervisor has approved or declined their requests. If the employee is already logged into the mobile app, they can select the notification to go directly to the My Time Off page.

The notification messages identify the date and status of the request. If the request is related to a range of dates, the message identifies the first date in the range.

Billboard Shift Notifications

When you publish a schedule with billboard shifts, the system sends the notification to all the employees who are allowed to see the billboard. The notification says that shifts were added to the billboard, and directs the employee to check their schedule.

If the employee is already logged into the mobile app, they can select the notification to go directly to the My Schedule page.

Employees only see billboard shifts that they are qualified to work, and that they can claim without creating a schedule conflict or rule violation. As a result, sometimes employees might receive a billboard shift notification and then check the My Schedule page, but see no billboard shifts there.

Timesheet Notifications

Supervisors receive notifications when their employees attest or reject their timesheets, and when timesheet approvals are due or overdue. Employees receive notifications when their supervisor replies to a timesheet.

For approvals, each notification includes timesheet approvals that are due or overdue for a specific team and date range, and directs the manager to the timesheet for that team and date range.

Configuration

To enable push notifications from Time and Attendance:

Schedule the UTA Mobile Push Notification Task

Schedule the UTA Mobile Push Notification Task to run on a periodic interval. This task sends the messages to the mobile service for delivery to mobile devices.

If you do not run this task, employees will not receive notifications from Time and Attendance even if they have enabled notifications on their mobile device.

Navigation:Maint. > System Administation > Job Scheduler

  1. In the Job Scheduler, locate the UTA Mobile Push Notification Task.

  2. Select the Resume button to enable the task.
    The task State changes to Ready. By default, the task runs every five minutes.The default schedule of the UTA Mobile Push Notification Task. In Scheduling Time, the Daily option is selected, with 1 entered as the number of days, and 300 entered as the interval in seconds.

Push Notifications for Timesheet Attestation and Timesheet Approvals

To help let your managers know when employees have attested or rejected their timesheets or when timesheet approvals are due or overdue, you can configure Time and Attendance to send push notifications to the UKG Pro mobile app.

Specific timesheet alerts generate the push notifications for timesheet approvals, which you can run on demand or at a scheduled frequency, such as every Friday at 3:00 PM. When the alert task runs, the push notification task sends notifications to the manager's mobile device.

For approvals, each notification includes timesheet approvals that are due or overdue for a specific team and date range, and directs the manager to the timesheet for that team and date range.

Turn On Timesheet Approval Push Notifications in Time and Attendance

Turning on timesheet approval push notifications requires:
  • Enabling push notifications in Time and Attendance.
  • Enabling push notifications on the mobile app.
  • Scheduling the alert task.
  • Scheduling the job scheduler task.
Enable Timesheet Attestation and Manager Reply Push Notifications

The UTA Mobile Push Notification Task (in the Job Scheduler) sends push notifications to employee devices for timesheet rejections and manager replies.

By default, push notifications for timesheet attestation and manager replies are enabled. However, administrators can configure a registry parameter to disable or enable these notifications as required.
Important These settings affect all users.

Navigation:Maint. > System Administration > Registry Settings

  1. For timesheet attestation, find this registry setting:
    system/UTA/mobile_push_notifications/timesheet_attestation/is_enabled
  2. Select the Edit link of the parameter.
  3. In the Value field:
    • To turn on the notifications, enter true.
    • To turn off the notifications, enter false.
  4. Select Save.
  5. For employee timesheet rejections, find this registry setting:
    system/UTA/mobile_push_notifications/timesheet_attestation/last_rejection_datetime
  6. Select the Edit link of the parameter.
  7. In the Value field:
    • To turn on the notifications, enter true.
    • To turn off the notifications, enter false.
  8. Select Save.
  9. For manager replies to an employee's rejected timesheet, find this registry setting:
    system/UTA/mobile_push_notifications/timesheet_attestation/last_reply_datetime
    Note "Today" is used as the start date.
  10. In the Value field:
    • To turn on the notifications, enter true.
    • To turn off the notifications, enter false.
  11. Select Save.
Enable Timesheet Approval Push Notifications

The UTA Mobile Push Notification Task (in the Job Scheduler) sends push notifications to employee devices for all enabled push notification types.

By default, push notifications for timesheet approvals is enabled. However, administrators can configure a registry parameter to disable or enable timesheet approval notifications as required.
Important This setting affects all users.

Navigation:Maint. > System Administration > Registry Settings

  1. Find this registry setting:
    system/UTA/mobile_push_notifications/timesheet/IS_ENABLED
  2. Select the Edit link of the parameter.
  3. In the Value field:
    • To turn on the notifications, enter true.
    • To turn off the notifications, enter false.
  4. Select Save.
Run the Timesheet Approval Alert Tasks

The timesheet approval push notifications are generated based upon alerts which are configured to list teams with timesheets that required approval.

For example, this alert indicates that the timesheets are not approved for the teams COOPER10518 and JONES10417 for the period of 2022-02-27 to 03-05. In this example, the manger would receive two push notifications, one for each team/date range listed in the alert. Tapping the push notification navigates to the team timesheet page in the mobile app for the team and date range specified in the notification.Example of a timesheet approval alert.
Two default alerts are available to run:
  • TIMESHEET APPROVAL DUE: Lists timesheets dated within the current week that require approval.
  • TIMESHEET APPROVAL OVERDUE: Lists timesheets dated within prior weeks that require approval.
    Note Timesheets are grouped by team and week.

Administrators can schedule these alerts, modify them, or create their own alerts as needed.

Navigation:Maint. > System Administration > Job Scheduler

  1. Select Add Schedule.
  2. Add a Task Description, select the Alert Task type, select a scheduled time, and then select Submit.
    Note The task is now listed in the job scheduler.
  3. Select the Parameters button for the new task.
  4. From the Alert Type list, select the name of the alert.
  5. Select Next, then select OK.
    The alert is now scheduled to run at the scheduled date and time. When the task runs, alerts are generated. When the UTA Push Notification task runs, push notifications are delivered.
Run the Alert Task

An alert can be scheduled to run at a specified date and time.

Navigation:Maint. > System Administration > Job Scheduler

  1. Select Add Schedule.
  2. Add a Task Description, select the Alert Task type, select a scheduled time, and then select Submit.
  3. Select the Parameters button for the new task.
  4. From the Alert Type list, select the name of the alert.
  5. Select Next, then select OK.
    When the task runs, alerts are generated. When the UTA Push Notification task runs, push notifications are delivered.
UTA Mobile Push Notification Task

Time and Attendance uses a Job Scheduler task called UTA Mobile Push Notification Task to send push notifications to the UKG Pro mobile app.

If you already send push notifications for other types of notifications, then the task is already configured. Otherwise, to send push notifications, you must configure the task to run at regular intervals.

Allow Timesheet Approval Notifications in the Mobile App

Each mobile app user can control whether their device displays timesheet approval notifications.

  1. Select Settings > Notifications > Time and Attendance.
  2. Set the Timesheet reminders switch as needed:
    • To allow notifications about timesheet approvals, set the switch to On.
    • To decline notifications about timesheet approvals, set the switch to Off.

Enable Time and Attendance Notifications in the Mobile App

In order to receive notifications about their time off requests, users of the mobile app need to enable the notifications in their app settings.

  1. In the mobile app, navigate to the Settings page.

  3. If Notification Alerts is turned off, turn it on.
  4. Select Time and Attendance.
  5. Turn on the options for the notification types you want to receive.
    • Shift opportunities controls notifications about unassigned shifts posted to shift billboards.
    • Time off requests submitted or approved controls notifications about your time off requests.
    • Timesheet Reminders includes notifications for timesheet rejections and manager replies and timesheet approval reminders.
