Team Definitions for Time-off Recommendations
Team Definitions for Time-off Recommendations
Managers can use guided recommendations to make the time-off request process more efficient
within their work teams.
Guided recommendations present information to help manage time-off requests and recommend whether to approve or refuse requests. In order to use this feature, managers must define their teams.
Define a Team for Guided Time-Off Recommendations
Managers must first define teams to optimize guided recommendations in the solution that help them to balance time-off requests with coverage needs and accruals balances.
-
On the Team Definitions page, do one of the following:
- Select Add a Team. Enter a Team Name.
- Select one team. Select Edit.
- (Optional) Enter a Description.
-
Select a Start Date and End Date using the calendar icons. Important For a new team definition, the dates cannot be before today's date. For an edit of an existing team definition, you can set the dates to be in the past to inactivate that team definition.
-
At Employees in This Team, select one of the following:
- Hyperfind > Select the Hyperfind query.
- Reports to Manager > Select the manager of the employees.
- Schedule Group > Select the schedule group.
- Select Apply.
Define Absence Quotas for Team Members
Managers can define or update the number of absences allowed on a Team for each day of the week and request recommendations on the Team Definitions page.
- On the Team Definitions page, select the applicable team.
-
Select the Team Members tab to view the list of employees who
are included in the Team. Tip Select the column header or down arrow to change the sort order. This can be useful when determining whether a specific employee is included as a Team member.
- Select the Team Absence Quota tab.
- For each day, enter the maximum number of employees who can be absent.
- Select Save.
- Select the Recommendations tab.
-
At Days with Team Absences at or above the Daily Quota, enter
the percentage of a date range of time off that can be ignored. These days have a number
of time-off requests that is greater than or equal to the daily quota. Note For example, set the percentage to 20. If an employee asks for 5 continuous days off, and one of those days (=20%) is above the daily quota, the recommendation is to approve the request. If two of those days (=40%) are above the quota, the recommendation is to refuse the request.
-
Select Auto Approval to automatically approve requests only if
approval is recommended.Important If Automatic Approval is selected in the request subtype, that setting overrides Auto Approval in the Team Definition. For recommendations to automatically approve requests, select Auto Approval in the Team Definition recommendation and deselect Automatic Approval in the request subtype setup.
- Select Save.
