Time Management Questions and Answers
These questions and answers are divided into Employee and Supervisor sections.
Employee Questions
These questions relate to the employee role.
Is access to Time Management available 24 hours a day?
Yes. All employees have 24/7 access from anywhere an Internet connection is available.
How do I access Time Management?
In UKG Pro, select Myself from the menu and then select Time Management.
What can I do in Time Management?
You can review and submit your timesheets. You can also review and print timesheets from prior payrolls and submit requests for time off.
How do I request time off?
In Time Management (Menu > Myself > Time Management), select Scheduler and then select Requests.
- Select Add.
- Enter a description for the request and choose the request type (for example, Vacation).
- Choose the start and end times using the calendars (may cross weekends).
- Add notes if desired.
- Select Show Advanced Options for advanced requests (specific start and end times, multiple pay codes, partial days, non-consecutive days).
- Select Save. Your scheduler will receive an email detailing your time off request.
- Once submitted, you can view your history by selecting All Requests.
You can later select the Calendar to review the status and dates of your requested time off.
You can also request time off via the UKG Pro Mobile App (Time Off).
My supervisor has not approved or declined my request for time off. What should I do?
You can send a reminder, with an optional message, to your supervisor (Requests > Remind button). The Remind button is optional and only displays based on your company’s configuration.
How do I correct an error on my timesheet?
If you have been given access, you can edit a timesheet. To add time:
- Choose the Pay Code.
- Change any organization level changes.
- Enter an amount under the appropriate day.
- Select Save.
To create a new record, select the plus sign (+) on the right.
If you have not been given access, you will need to ask your supervisor to make the change for you.
Supervisor Questions
These questions relate to the supervisor or manager role.
How do I correct an employee’s time?
- From the My Team menu, select Time Management.
- Select an employee’s name to see his or her timesheet.
- To enter a missing out punch, type the time into the empty cell and select Save.
- To insert a missing punch, select Insert/Repost.
- To add time, select the next empty date field and select the date from the drop-down list; select a pay code.
An employee’s time can also be corrected in the UKG Pro Mobile App (My Team > Timesheets).
How do I approve timesheets?
- From the My Team menu, select Time Management.
- Select an employee’s name to see his or her timesheet.
- Complete any edits and confirm period totals.
- Select Approve.

How do I process time off requests?
- In Time Management, select Scheduler and then select Requests.
- To approve a request, select the box to the left side of the request and then select the Approve button.
- To deny a request, select the request and then select the Deny button.
- Select Save. (Note: If you select all of the requests and then select Approve, the Save step is not needed.)
Time off requests can also be processed in the UKG Pro Mobile App (My Team > select employee > Request).
Can I approve or decline a pending time-off request from an employee’s timesheet?
Yes. To act upon a pending request:
- From the employee’s timesheet, go to the Timesheet Detail section.
- Select the Pending Time-Off Alert link. (This link only appears when there are pending time-off requests during the pay period being viewed.) The Manage Time-Off Requests page appears.
- Make your changes to the pending request and select Save. The pending time-off requests can be approved without approving the timesheet.
How do I change an employee’s status?
In UKG Pro, select Time Management in the employee record (Menu > My Team > My Employees > select employee > Time Management). At the Status field, select the desired status from the drop-down list, and then select Save.
Why do some of my employees see Time Management but others do not?
To ensure an employee sees Time Management, enable employee access in UKG Pro.
- Select the Time Management tab in the employee record (Menu > My Team > My Employees > select employee > Time Management).
- Select Edit.
- Select Enabled next to the Employee Access option.
- Select Save.
What are geo-fences and how do I create them?
To learn about geo-fencing, refer to the Configure Geo-Fences for Time Management job aid in the UKG Community Library (Library > UKG Pro > Pro WFM > Pro Time and Attendance > Time Management > Configure).
Why can’t my employees add a pay code to their timesheets?
To ensure employees have the ability to add a pay code to their timesheets, the code must be added to the correct access group in Time Management. An employee’s access group is listed at the bottom right-hand column under the Employee Identification header.
To edit the access group:
- Select Access, Advanced, and then Pay Code.
- Select the correct Access group on the left.
- Move the desired pay code from the Available Items pane to the Selected Items pane.
- Select Save.
How do I run Time Management reports?
- From My Team, select Time Management.
- Select the Report link. The Report Generator page appears.
- Expand a report template folder and select a report. The Properties page for the selected report appears.
- Select the double arrows next to a criterion to change the default setting. Change any criteria as needed.
- Select the Preview tab to run the report.
- Select Publish.
- Scroll down to the Publish To section and enter the report name, description, and to whom the report should be made available.
- Select Publish and then select the Report Generator tab.
How do I know what’s being updated in each release?
Release notes are published in the UKG Community Library on the day of the release.
