Extend the Payroll Calendar

If you pay your employees through UKG Pro, the payroll calendar must be extended in UKG Pro for the year before the current pay period can be started. Pay groups with open payroll cannot be extended.

Note:

If the payroll calendar is not extended, approvals for time off requests may fail.

If your employees are not paid through UKG Pro, pay periods must be imported within Time Off. Review the Import Pay Periods into Time Off help topic.

Holidays must be added in UKG Pro first. Business Rules impact only pay dates; they do not impact holiday pay.

Navigation: Menu > System Configuration > Business Rules

  1. Add holidays in UKG Pro:
    1. Select the Holidays link from the list.
    2. Select Add.
    3. Enter the bank holidays (for example, 12/25/20 = Christmas Day) that will impact the pay date you want to use for that pay period. Do not enter dates when the office will be closed (for example, 12/24/20 = Christmas Eve).

      Note:

      • Do not enter New Year's Day as a holiday; this action can cause issues extending your calendar. After extending the calendar, you can manually edit any pay dates that fall on New Year's Day.
      • Incorrect holidays will affect the pay dates created when extending the payroll calendar.
      • Review a complete list of US Bank Holidays from the Federal Reserve System and a complete list of Canadian Statutory Holidays.

    4. Enter a description.
    5. Select Add to save the date.
    6. Select Save on the Holidays page.
  2. Extend the payroll calendar in UKG Pro:
    1. On the Business Rules page, select the Pay Groups link from the list.
    2. Under the Next column (Pay Calendar), select Extend for the desired pay group.
    3. On the Extend Pay Calendar page, complete the Pay Calendar Details section, and then select Save.

      Important:

      For a semi-monthly pay group, use the normal pay dates that are used throughout the year. For example, if normal pay dates are 1/15 and 1/31, do not use 1/13 and 1/27 or the calendar will not extend correctly for the rest of the year.
