Terminated Employees in Time Classic

After a Workforce Management Classic employee is terminated in UKG Pro, several events occur within Time Classic.

Although the termination date is passed to Time Classic in real time immediately after the termination process in UKG Pro, several updates require the Fetch job to be run before these are reflected. This job, located in Time Off > Settings > Job Scheduler, runs on a regular basis automatically but can also be run manually.

Employee Status

The employee’s status is updated to Terminated beginning one day after the termination date. If the termination date is set to today, the employee will still appear active in Time Classic until tomorrow.

Note:

Terminated employees will no longer appear in My Team unless the Employee Status filter is updated to include the Terminated status.

Timesheet

All timesheet details on days after the date of termination will be removed. However, all punches and edits will remain and will no longer calculate time.

Punches and edits that remain will only appear on a time clock timesheet within the punch modal. If a termination was done in error, these can be restored by resaving the timesheet after the employee is reactivated.

If Approved timesheet days exist after the date of termination, those days will revert to a Submitted status. If only some of the days had entries, you may see a timesheet appear as Partially Approved.

Note:

All schedule details will remain visible on the timesheet beyond the termination date.

Team

The membership of terminated employees on their current manager’s team remains active indefinitely. This ensures that managers still have access to these employees.

If a terminated employee is a manager, that manager’s team will become inactive and no longer appear in the Team filter on the My Team page. Members of this manager’s team will also have their membership become inactive as of the date of termination.

Note:

If a terminated employee is a manager, ensure the manager’s employees are assigned to a new manager.

If an employee was terminated mid pay period (or timesheet range), the employee will still appear on the Team Timesheets page under the Active Employee Status filter since the employee was active for at least one day during that period. For any period afterward, you must select the Inactive Employee Status filter.

Terminated employees will continue to appear on the Team Timesheets page (with the Inactive Employee Status filter) as far into the future as there have been timesheet days created. Timesheet days are created by the Start of Day job (Settings > Job Scheduler).

If a terminated employee is a member of an Administrative Team, that employee will remain a member of the team even after termination.
