Configure Diversity and Equity for Onboarding

The ability to capture diversity and equity information during the new hire process supports your organization's goals to promote inclusion and diversity in the workplace while meeting compliance and regulatory requirements. You can select the questions that will appear on the EEOC - Voluntary Self Identification page for US new hires and the Additional Information page for Canadian new hires.

The information entered by Canadian new hires on the diversity pages is not visible to Onboarding owners or administrators. HR administrators can view this information only after it has been sent to UKG Pro where it becomes part of the employee profile. New hires will always have the option to select the I Prefer Not to Answer checkbox.

If the EEOC Information option is on in UKG Pro, US new hires can complete these sections when completing the EEOC - Voluntary Self Identification Survey page. The option is on by default when a new process is created, but it must be selected if an organization wants to change their current configuration for gender, veterans, or disability settings.

Access and Edit the Employee Genders Business Rule
If your organization prefers to expand gender options beyond female and male, then an individual in your organization must access and edit the Employee Genders business rule in UKG Pro.

Navigation: UKG Pro > Menu > System Configuration

  1. To ensure the individual has access rights to the Employee Genders business rule, navigate to the Business Rules Access Rights page (Security > Role Administration > select role > Business Rules Access Rights > Employee Genders).
  2. Select the View and Edit options for the Employee Genders business rule.
  3. Select Save.
  4. To update the Employee Genders business rule, select Business Rules from the menu.
  5. On the Business Rules page, search for the Employee Genders business rule.
  6. On the Employee Genders page, select Add.
  7. Complete the Add Record pop-up window.
    1. Enter the code (alphanumeric).
    2. Enter a description for the new employee gender.
    3. Select a country. Select All or an individual country for which the new gender option appears.
    4. At the Gender Mapping field, enter a traditional gender mapping value of Male or Female. Traditional values are used by custom and integrated programs, such as benefits and payroll, to determine rates. Traditional values are also used to collect EEO-1 data to report counts for Male and Female.

      Note:

      If no value is entered in the Gender Mapping field and it is left blank, UKG Pro assigns an "undefined" value. You must configure an associated rate for an "undefined" value in the Rates table.

    5. Select Add to add the new employee gender.
    6. Review the information, and then select Save. The new gender option appears in the Gender menu that is available in the UKG Pro and Onboarding solutions.
