Manage Candidate Pools

Use pools to organize groups of candidates and make it easier to find them later.

A pool is a list of candidates that you have saved for future consideration. For example, you could create a pool named "Great Candidates" or "Save for Later." You might also create pools for certain types of jobs, or for specific regional areas that you recruit for often.

The pools you create are associated with your user account, and can be shared with other Recruiting users, if allowed by a Recruiting Administrator. You can also share individual candidates with other Recruiting users.

Navigation: UKG Pro Recruiting > People

  1. To create a new pool, select Add Pool. Type the name you want and press Enter.
  2. To add a candidate to a pool:
    1. In the People list page, select the candidate.
    2. Select the action menu, then select Add to Pools.

    3. Select one or more pools, then select Add Candidates.

  3. To view the members of a pool, select the pool in the navigation pane.

    Tip:

    When you select one of the members the in pool to view the candidate details, you can move through the pool using the previous and next arrows at the top of the page.

  4. To remove candidates from a pool:
    1. In the pool list, select the candidates.
    2. Select Manage > Remove from pool.
      A confirmation message appears.
    3. Select Yes.
  5. To add candidates to another pool:
    1. In the pool list, select the candidates.
    2. Select Manage > Add to another pool.
    3. Select one or more pools from the list, then select Add Candidate.
  6. To share a candidate pool:
    1. A Recruiting Administrator must turn On the feature in UKG Pro Recruiting > Settings > Candidate > Shared Pools.
    2. Recruiters and Hiring Managers can share pools in two ways:
      • By expanding the My Pools dropdown in the sidebar, hovering over the pool to share, selecting the down arrow after the pool name and from the dropdown menu selecting Share. A pop-up window opens.
      • By opening any pool. Beneath the title select the Shared with: # User(s) link. A pop-up window opens.
    3. Select the users with whom you want to share the pool. You can select all users, all Recruiters, all Hiring Managers, or selected individuals.
    4. When you complete your selection, choose Share. The pool you shared will now appear for the selected users under their Shared Pools.

      Pool owners retain full control of the Pools they share and can add and remove candidates, rename the pool, or delete the pool for everyone.

      Users in a shared Pool can add and remove candidates, or remove themselves from Pool access.

      Note:

      Within Shared Pools, Hiring Managers without permission to view all candidates can only access the candidates they have created, or that have applied to Opportunities they have access to. That is, they can see the candidate's name in the pool but cannot see the profile, or take any action on the candidate. Recruiting Administrators can give Hiring Managers permission to access all candidates in UKG Pro Recruiting > Settings > Hiring Manager Permissions > View All Candidates.
