Configure Form I-9 Purge Settings

Onboarding system administrators can permanently purge Form I-9s that they are legally allowed to delete per USCIS rules. This feature minimizes the risk of fines during an audit since each Form I-9 with errors may result in a fine. Form I-9s for both terminated employees and canceled new hires can be purged.

Important:

When this feature is turned on, the purge is final. Use caution since the Form I-9s cannot be recovered.

Onboarding syncs with the terminated status in UKG Pro. The Form I-9s are not deleted from UKG Pro, but if you attempt to view them, a message appears stating that the form cannot be accessed.

Note:

Select More Information to go to the Handbook for Employers M-274 (section 10.0 Retaining Form I-9) on the U.S. Citizenship and Immigration Services' website.

Navigation: Settings > Employment Eligibility

  1. On the Employment Eligibility Settings page, select the Form I-9 tab.
  2. Toggle the Purge the Form I-9 Terminated New Hires option On.
  3. Enter the number of years (3-10) after the employee's start date to automatically purge a terminated new hire's Form I-9.
  4. Enter the number of years (1-10) after the employee's termination date to automatically purge a terminated new hire's Form I-9.

    Note:

    With the number of years entered in steps 3 and 4, the statements in both must be true for Onboarding to purge the Form I-9s. In addition to removing the Form I-9, the associated E-Verify case will also be removed.

  5. Toggle the Purge the Form I-9 Canceled New Hires option On.
  6. Enter the number of days (1-9999) after a new hire is canceled that their Form I-9 should be purged.
  7. Select Save.

    Note:

    When a name is selected from the Completed list, the Tasks section displays the following message: "Removed based on the employment eligibility settings."

    The General Audit report includes the name of the person who turned on the purge Form I-9 feature and the number of years or days they entered in each field. Refer to Run a Report.
