Manage Texting Numbers

Once an administrator has activated Candidate Texting, they must request authorized phone numbers for their Recruiters and Hiring Managers to use to communicate with applicants via text. Numbers can also be reassigned from user to user or released (canceled), if needed.

Navigation: UKG Pro Recruiting > Settings > Users and Logins

  1. On the Users and Logins page, locate a user to request, reassign, or release a number.
    Users have one of five statuses.
    • Not Requested: No number is assigned to this user.
    • Pending: A number has been requested but not yet assigned.
    • Active: A texting number is assigned, and the user can use the Candidate Texting feature.
    • Retryable Failure: A common cause of failure is entering incorrect contact information in UKG Pro Recruiting > Settings > Candidate > Text Messaging. To review and update your business contact information, please follow the steps in the Information for Controlled Rollout Participants section of the Activate Text Communication help topic.
    • Failure: In rare cases you may encounter a failure that cannot be resolved from within the Recruiting solution. If this happens, please contact support for assistance.
  2. Select the ... Actions button.

    1. For users with Texting Numbers status Not Requested, select Request texting number.
    2. To cancel a texting number assigned to a recruiter, select Release texting number. A pop up window appears. Select Yes, release to release the number. Your organization will no longer have access to the number if it is released.
    3. To reassign a number to another recruiter, select Reassign texting number. A pop-up window appears.
    4. Search for the user to whom the number should be reassigned and select OK.

    For new numbers, the status will change to Pending. A toll-free, 8XX number will be fully registered and authorized for use by the carrier. This process may take up to six weeks to complete, based on demand.

    For released numbers, the status in the recruiter's Texting Number column changes to Not Requested. You may request a new number for the recruiter at any time.

    For reassigned numbers, the reassignment happens immediately.

  3. The status in the Texting Number column changes to Active when the number is authorized and ready for use.

    Note:

    • Only Recruiters and Hiring Managers who have an authorized texting number that is in Active status can use the Candidate Texting feature to send text messages to candidates and receive responses.
    • Only Recruiters or Hiring Managers that have a Not Requested status are eligible to receive a reassigned number.
    • The newly assigned user cannot see the texting history for the reassigned number in the texting app. The history is still available in the Candidate Notes.
    • Once the reassignment is complete, the previous user will have a texting status of Not Requested and the Recruiting Administrator can request a new number in the future on behalf of the user.
