Here are the new features and enhancements in the August release of your Recruiting solution.

Note:

Some features may not be immediately available, but all included features are set to roll out in the days following this release.

Candidate Interview Self-Scheduling

Recruiters and Hiring Managers can now give candidates a choice of interview times and allow them to select the time that works best for them. This feature helps reduce email volume and gives Recruiters, Hiring Managers and candidates an easier way to find an interview time that works for everyone involved.

If your organization is not already using the Calendar Integration feature to schedule interviews, a Recruiting Administrator needs to follow the steps in our Interviews help topic to set up the integration before you can use Candidate Self-Scheduling with Video Conferencing (see the Video Conferencing What's New item on this page for more information on this feature).

When the Calendar Integration is active, follow the steps in the Schedule an Interview help topic. While much of the process remains the same for those already using the Calendar Integration, there are some differences when using the new Candidate Self-Scheduling.

The Schedule Interview window now offers some new options in addition to those previously available:
  • There are now four choices of Interview Type:
    • Phone Screen / Phone Interview
    • Panel Interview
    • On Site Interview
    • Virtual Interview (new)
  • You can choose to end interview(s) early by 5, 10 or 15 minutes. This is useful if you or your interviewer has multiple interviews scheduled back-to-back and would like time in between without blocking off more availability.
  • The Candidate Self-Scheduling checkbox is available whether you have selected to offer an interview to one person or to multiple people.
    • For multiple candidates, this checkbox is selected by default.
      • If this checkbox is manually deselected, you will only be able to offer one interview slot to all of the selected candidates.
    • For single candidates, this checkbox is deselected by default.
  • You can now select more than one time slot on the calendar if the self-schedule box is selected. If you have not selected enough time slots to accommodate all candidates, you will receive a message alerting you that you may want to open more time slots.
  • Selecting the Candidate Self-Scheduling checkbox causes an information box to appear near the Email section of the page with an informational reminder: "We'll send this email once the candidate confirms their interview date and time."

When you compose your invitation email and select Send, the candidate first receives a form email inviting them to choose their preferred interview time, either by following a link in the email or by logging in to your site and navigating to My Presence > Interviews. Once they have selected a time, your custom interview information is sent along with an .ics attachment allowing the candidate to import the interview into their calendar.

Video Conferencing

If your organization uses Google Calendar or Microsoft Office 365, Recruiting administrators can now activate a calendar integration to integrate video conference creation in the Recruiting solution. Microsoft Office 365 users will need to link their Azure Active Directory Global Administrator Account via Cronofy to use this feature. Please see the Connect Office 365 with Microsoft's Graph API help topic for more information on how to activate the integration. Google Calendar users automatically have access to video conferencing in this update with no additional action required. However, Google users may want to check that Video Conferencing is active in UKG Pro Recruiting > Settings > Interviews. If video conferencing is not active, please deactivate and reactive the integration. If you use Microsoft Exchange Web Services and a Service Account, you will not have access to Video Conferencing.

With this integration, when Recruiters or Hiring Managers create an interview they can automatically generate a Microsoft Teams or Google Meet video conference link and, once the interview is confirmed, have it automatically added to their calendar.

If your organization is not using the Calendar Integration feature to schedule interviews, you'll need to follow the steps in our Interviews help topic to set up the integration before you can use Video Conferencing for Microsoft Office 365 or Google.

Recruiters already using the Calendar Integration feature with Microsoft Exchange and a Service Account will need to deactivate the Interview setting and reactivate the integration using Microsoft's Graph API, possibly with the help of their IT or Email Domain Administrator. Those using Google may want to check that Video Conferencing is active in UKG Pro Recruiting > Settings > Interviews.

If a Recruiting Administrator has activated the integration, you will see a green check icon and the text "Video conferencing enabled" on the UKG Pro Recruiting > Settings > Interviews page in the Calendar Integration section. If Video Conferencing is not available, you will see a red X icon and the text "Video conferencing not enabled."

Once the integration is activated, you can add a video conference to an interview by turning on the Video Conference toggle on the Schedule Interview screen. See the Schedule an Interview help topic for more information.

Status Indicators When Applying on Behalf of a Candidate

Visual indicators are displayed next to candidate names for Recruiters and Hiring Managers applying on behalf of a candidate from an Opportunity (UKG Pro Recruiting > Opportunities > Published > Number of Applicants > More Actions > Add Applicant). This matches the visual indicators used on the People list (UKG Pro Recruiting > PeopleUKG Pro).
  • Blank is an external candidate.
  • Green is an active employee.
  • Gray is an internal, inactive (or prior) employee.

Revised Informational Wording on the Candidate Application

The informational text in the Contact Information section of the Application page (UKG Pro Recruiting Job Board > select an Opportunity > Apply Now) is reformatted into bullet points for better clarity. A direct link to the Sign Out page is provided to make it easier for candidates logged in with the wrong account to change accounts before completing their application.

New Job Posting Integration Partners

With this release, the Recruiting solution adds three new job posting integration partners:
  • My CNA Jobs
  • Talent.com
  • TeamWork Online
In order to post your Opportunities on a third-party job site, you must obtain a contract with the partner. To activate the integration in the Recruiting solution, go to UKG Pro Recruiting > Settings > Job Boards > 3rd Party Job Sites, then expand the job site section you want. Set the Integrate Job Site Postings switch to On. Then select Save 3rd Party Job Site.

New Background Screening Partner

With this release, Recruiting adds a new integration partner who provides background checks for employment screening:

In order to use one of our partners for background checks, you must obtain a contract with the partner.

To activate, go to UKG Pro Recruiting > Settings > Integrations > Background Checks.
