These are the new features and enhancements in the October release of the Recruiting solution.

Note:

Some features may not be immediately available, but all included features are set to roll out in the days following this release.

Merge Candidates

Sometimes, a candidate has a duplicate record in the Recruiting solution. Recruiting Administrators can allow Recruiters (but not Hiring Managers) to merge duplicate candidate records by turning On the Candidate Merge feature (UKG Pro Recruiting > Settings > Candidate > Candidate Merge).

Important:

Merging candidates is not reversible.

What is supported:
  • Merging two external candidate records
  • Merging an external and an internal candidate record
What is not supported:
  • Merging two internal candidate records
  • Bulk merges

New Offer Fields and Associated Merge Tags

New fields for Location and Organization Level have been added to the Offers section of your Recruiting solution. New merge tags associated with these fields are also available for use in offer letters.
  • Location
    • Location Address - {LOCATION_ADDRESS_STRING}
    • Location Description - {LOCATION_DESCRIPTION}
    • Location Name - {LOCATION_NAME}
  • Organization Levels — Organization Levels represent your business structure and display depending on how you set up your organization levels in UKG Pro. The tags listed here are examples of what you may see, depending on your organization structure.
    • Department - {DEPARTMENT}
    • Division - {DIVISION}
    • Industry - {INDUSTRY}
    • Region - {REGION}

Recruiters and Hiring Managers can fill out these new fields on the Offer Details page and use their associated merge tags in the Offer Letter tab. The new Organization Level and Location fields can be updated if your organization uses Edit Offers.

Note:

  • If one location is associated to the Opportunity, that location appears on the offer letter.
  • If Restrict Org Level Selections by Qualifiers is turned On in UKG Pro Recruiting > Settings > Organization, the lists in those fields will be filtered by the user's qualifiers.

Share Candidate Pools

A new feature in the Recruiting solution allows Recruiters and Hiring Managers to share Candidate Pools, increasing team collaboration and efficiency.

Recruiting Administrators can activate the feature in UKG Pro Recruiting > Settings > Candidate > Shared Pools by selecting the On button and then the Save Display Shared Pools button.

Once the feature is active, three options are available under the People dropdown on the sidebar: All, My Pools, and Shared Pools.

Recruiters and Hiring Managers can share pools in two ways:
  • Expand the My Pools dropdown in the sidebar, hover over the pool to share, select the down arrow after the pool name and from the dropdown menu select Share. A pop-up window opens.
  • Open any Pool. Beneath the title select the Shared with: # User(s) link. A pop-up window opens.

In the pop-up window, select the users with whom you want to share the pool. You can select all users, all Recruiters, all Hiring Managers, or selected individuals. When you complete your selection, choose Share. The pool you shared will now appear for the selected users under their Shared Pools.

Pool owners retain full control of the Pools they share and can add and remove candidates, rename the pool, or delete the pool for everyone.

Users in a shared Pool can add and remove candidates, or remove themselves from Pool access.

Note:

Within Shared Pools, Hiring Managers without permission to view all candidates can only access the candidates they have created, or that have applied to Opportunities they have access to. That is, they can see the candidate's name in the pool but cannot see the profile, or take any action on the candidate. Recruiting Administrators can give Hiring Managers permission to access all candidates in UKG Pro Recruiting > Settings > Hiring Manager Permissions > View All Candidates.

Step 6 of the Manage Candidate Pools help topic is updated to reflect this enhancement.

Indeed Parent Company

Parent Company is a new field for Indeed in the 3rd Party Job Sites settings (UKG Pro Recruiting > Settings > Job Boards > 3rd Party Job Sites > Indeed). Use this field if you need to advertise jobs under a subsidiary company while still managing your Indeed campaign under a parent company. A name entered in this field is passed to Indeed for tracking and campaign management purposes.

This field is optional. If you do not have a parent company under which you post listings for one or more subsidiary companies, you do not need to enter anything in this field.

Important:

If you have campaigns set up on Indeed, contact your Indeed customer service representative before making any entry in this field to ensure there will be no disruption to existing campaigns.

Offer Letter Character Limit Increase

The character limit for offer letters is increased to 100,000 characters. This increase affects both offer letter templates and letters created manually as part of the Create an Offer process. Any markup, merge tags, and images in the letter count toward the 100,000 character limit.

Close Opportunities Enhancement

Before, when you switched the view on the Opportunities page from the default 20 records per page to 50 or 100 records per page, selected multiple opportunities, and attempted to close them, you would receive an error message: "Sorry, an error occurred while processing your request."

Now, when viewing 50 or 100 opportunities per page, selecting more than one, and closing them, the opportunities close as expected.
